1. Introduction
Solhunde AI Consulting Inc. (“Solhunde,” “we,” “us,” or “our”) operates the website located at solhunde.com (the “Site”). In short, this Privacy Policy describes how we collect, use, disclose, store, and protect personal information. Specifically, it applies when you visit the Site, submit a contact form, or otherwise communicate with us.
First, this Privacy Policy is designed to comply with the Personal Information Protection Act (PIPA) of Alberta. In addition, it complies with the Personal Information Protection and Electronic Documents Act (PIPEDA) of Canada. Where both statutes apply, we follow the stricter standard. As a result, by using the Site, you consent to the collection, use, and disclosure of your personal information in accordance with this Privacy Policy.
This Privacy Policy applies only to information collected through the Site. Information collected during a paid consulting engagement is governed by the confidentiality and data-handling terms of the applicable engagement letter or master services agreement.

3. Information We Collect
3.1 Information You Provide Directly
- Contact form submissions: Your name, email address, phone number (optional), business name (optional), and the content of your message.
- Direct email correspondence: Any information you choose to share when you email nathan@solhunde.com or any other Solhunde address.
- Phone calls and voicemail: If you call (403) 561-9384, we may retain a record of the call and any voicemail you leave.
3.2 Information Collected Automatically
- Server logs: Our hosting provider may automatically log standard request data, including IP address, user agent, referring URL, requested page, and timestamp, for security, troubleshooting, and abuse prevention purposes.
- Analytics: If and when we enable Plausible Analytics, it will record aggregated, anonymous usage data such as page views, referrer, device type, country, and browser. Plausible does not use cookies, does not track individuals across sites, and does not collect personal information.
We do not currently use advertising cookies, retargeting pixels, third-party trackers, or behavioural advertising networks of any kind on the Site.
4. How We Use Your Information
Specifically, we use the personal information we collect for the following purposes:
- Responding to inquiries: To reply to your contact form submission, email, or phone call.
- Scoping potential engagements: To evaluate fit, prepare proposals, and arrange follow-up conversations about possible consulting work.
- Service improvement: To analyze patterns in submissions in aggregate so we can improve the Site and the relevance of our content.
- Business communications: To send transactional and relationship-based correspondence. We do not currently send a marketing newsletter; if we begin to, we will do so only on an express opt-in basis as described in Section 11.
- Security: To detect, prevent, and address fraud, abuse, and security incidents.
- Legal compliance: To comply with applicable laws, regulations, and legal processes, including Canada Revenue Agency (CRA) record-retention requirements.
5. Legal Basis and Consent
First, under PIPA and PIPEDA, we collect, use, and disclose your personal information based on your consent. As a result, by submitting a contact form, sending an email, or otherwise providing information through the Site, you consent to the collection and use of that information for the purposes described in this Privacy Policy.
However, you may withdraw your consent at any time by contacting our Privacy Officer. Note that withdrawing consent may limit our ability to respond to your inquiry or continue any pre-engagement conversation.
6. How We Share Your Information
We do not sell your personal information. We share information only with the third-party service providers we use to operate the Site and our business, all of whom are bound by their own privacy obligations:
- Hostinger (Lithuania / global infrastructure) — Website hosting and the virtual server that runs our self-hosted automation tooling for solhunde.com.
- n8n (self-hosted by Solhunde on Hostinger infrastructure) — Receives contact form submissions and routes them to internal storage and notifications.
- Google LLC (United States) — Google Workspace (email, calendar) and Google Sheets, where contact form submissions are stored for follow-up.
- Plausible Analytics (European Union, when enabled) — Privacy-friendly, cookie-less analytics. Plausible processes only aggregated, anonymous data and does not receive personal information.
We may also disclose personal information:
- To comply with legal obligations, including responding to lawful requests by public authorities, court orders, or subpoenas.
- To protect rights and safety, where we believe in good faith that disclosure is necessary to protect the rights, property, or safety of Solhunde, our clients, or others, or to investigate fraud or security issues.
- In a business transfer, in the event of a merger, acquisition, reorganization, or sale of assets, in which case affected individuals will be notified.
7. Cross-Border Data Transfers
Some of our service providers (notably Google) are located in the United States or process data in jurisdictions outside Canada. As a result, your personal information may be transferred to, stored in, and processed in countries other than Canada. In those jurisdictions, it may be subject to access by foreign authorities under local laws. However, by using the Site, you consent to this cross-border transfer and processing. To safeguard your information, we rely on the contractual terms and security commitments of these providers.
8. Data Retention
Generally, we retain personal information only for as long as is reasonably necessary to fulfil the purposes described in this Privacy Policy or as required by law:
- Contact form submissions: Stored for up to 24 months from the date of submission to allow for follow-up, unless you request earlier deletion or a consulting engagement begins, in which case retention is governed by the engagement letter.
- Email correspondence: Kept for as long as the relationship is active and for a reasonable period thereafter for record-keeping.
- Records related to invoiced consulting work: Held for at least 6 years after the end of the relevant tax year, in accordance with Canada Revenue Agency (CRA) requirements.
- Server logs: Maintained for a short period (typically up to 90 days) for security and troubleshooting, then deleted or anonymized.
You may request deletion of your information at any time, subject to our legal obligation to retain certain records.
9. Your Privacy Rights (PIPA / PIPEDA)
Under Alberta’s PIPA and Canada’s PIPEDA, you have the following rights with respect to your personal information:
- Right of access: You may request access to the personal information we hold about you. We will respond within 45 days.
- Right to correction: You may request that we correct any inaccurate or incomplete personal information.
- Right to withdraw consent: You may withdraw your consent to our collection, use, or disclosure of your personal information, subject to legal or contractual restrictions and reasonable notice.
- Right to deletion: You may request deletion of your personal information, subject to our legal obligations to retain certain records.
- Right to complain: If you believe we have not handled your personal information in accordance with applicable law, you have the right to file a complaint with the Office of the Information and Privacy Commissioner of Alberta (OIPC).

10. Data Security
First, we take reasonable administrative, technical, and physical safeguards to protect personal information against loss, theft, unauthorized access, disclosure, copying, use, or modification. Specifically, these include:
- HTTPS / TLS encryption for all data transmitted to and from the Site
- Access controls, strong authentication, and multi-factor authentication on accounts that store personal information
- Restriction of access to personal information on a need-to-know basis
- Use of reputable third-party providers with their own security commitments
- Regular software updates and monitoring of our self-hosted infrastructure
While we take reasonable precautions, no method of internet transmission or electronic storage is 100% secure, and we cannot guarantee absolute security. In the event of a privacy breach involving a real risk of significant harm, we will notify the Office of the Information and Privacy Commissioner of Alberta (OIPC) and affected individuals as required by PIPA.
11. CASL Compliance
In addition, Solhunde complies with Canada’s Anti-Spam Legislation (CASL). Specifically, we send commercial electronic messages only with your express or implied consent as defined under CASL.
- Replies to your inquiries, follow-ups about an active scoping conversation, and messages relating to a current engagement are not commercial electronic messages and are sent in the ordinary course of business.
- If we begin sending a marketing newsletter or other promotional communications, we will do so only on an express opt-in basis. Every such message will identify Solhunde, include our contact information, and provide a clear unsubscribe mechanism.
- Unsubscribe requests will be honoured within 10 business days.
12. Cookies and Tracking
Currently, the Site uses only essential cookies required by WordPress and our hosting environment for basic site functionality and security. In addition, we do not use advertising cookies, third-party tracking cookies, or behavioural advertising pixels. If we enable Plausible Analytics in the future, it will run without cookies and without collecting personal information.
Most web browsers allow you to manage or delete cookies through their settings. However, disabling essential cookies may affect the functionality of the Site.
13. Children’s Privacy
Notably, the Site is intended for business audiences and is not directed to individuals under the age of 18. As a result, we do not knowingly collect personal information from children. However, if we become aware that we have collected personal information from a child without parental consent, we will delete that information promptly.
14. Third-Party Sites
Additionally, the Site may contain links to third-party websites and services. However, this Privacy Policy does not apply to those third parties. Therefore, we encourage you to review the privacy policies of any third party before providing them with personal information.
15. Changes to This Privacy Policy
Periodically, we may update this Privacy Policy. When we do, we will post the updated policy on this page with a revised Effective Date. For material changes, we will provide reasonable notice. Therefore, your continued use of the Site after the effective date of any update constitutes your acceptance of the revised policy.
